This Policy explains how Hexatech Solutions Inc., which provides Netodex (“Hexatech,” “we,” “us”), handles personal information. Netodex is a relationship-intelligence platform for associations, chambers of commerce, accelerators, franchises, venture-capital firms, and other customer organizations (the “Customer”). Netodex works from contacts and relationships the Customer already holds in its own systems; it is not designed as a data broker, external prospecting source, or web contact-harvesting tool. This Policy is a privacy notice, not a service contract between Hexatech and people listed in a directory.
1. Our roles
Hexatech is accountable for information it collects for its own activities, including its website, sales, support, billing, security, and account administration. For information about members, mentors, suppliers, partners, and other contacts the Customer provides from its own systems or makes available to Netodex (“Network Data”), the Customer normally determines the essential purposes and means of processing. Hexatech processes that data for the Customer under the contract, data processing agreement, and documented Customer instructions. Depending on applicable law, this may be characterized as a controller-processor, business-service provider or contractor, or equivalent relationship. Each party remains responsible for its legal duties. People listed in a directory do not have to accept Netodex’s commercial terms. The Customer must give required notices and establish a valid legal basis for collection, use, and disclosure.
2. Customer first party data boundary
Netodex’s normal scope is limited to Network Data the Customer already holds and chooses to connect, import, or make available. Netodex does not supplement that data with purchased lists, data brokers, automated harvesting from public websites, or data from another Customer. We do not create a shared contact database across Customers or use one Customer’s Network Data to prospect, enrich, or serve another Customer.
This boundary reduces secondary collection and supports purpose limitation, necessity, and data minimization. It does not, by itself, make processing lawful. Before connecting a source, the Customer must confirm that it lawfully holds the information, the intended use is compatible with prior notices and the existing relationship, and it has consent or another lawful basis where required. Netodex may request that confirmation and reject a source outside this scope.

General or legal requests: hello@netodex.co
4. Information we handle
We may handle: contact and professional profile information; account, authentication, role and permission data; directory, relationship and engagement data already held by the Customer and imported from its systems or created by its Authorized Users in Netodex; searches, conversational prompts, feedback and support content; device, browser, IP address, language, log, session and usage data; commercial, waitlist, contract, billing and support records; and inferred matches, recommendations and engagement indicators. We do not request highly sensitive information for ordinary use. Customers and Authorized Users must not submit health, biometric, detailed financial, government identifier or similarly sensitive data unless expressly agreed in writing with appropriate safeguards.
5. Sources and collection methods
We collect information from you; from the Customer and systems it controls or is authorized to use, such as its directory, CRM, or community tool; automatically through use of the Service; and from authorized authentication, hosting, communications, and integration providers. We do not buy contact lists or automatically harvest public web profiles to enrich Network Data.
6. Purposes and authority
We use information to provide, configure, administer and support Netodex; authenticate users; import, organize, search and display Network Data on the Customer’s instructions; generate matches, conversational search results and analytics that support human judgment; secure the Service and investigate incidents; manage billing and the business relationship; improve reliability and performance using limited, aggregated or de-identified information where permitted; comply with law; and enforce legal rights. We do not use Network Data to train a general model for other Customers without the Customer’s express written authorization. Depending on context, processing is based on consent, the requested service, the Customer’s functions and instructions, or another authorization under applicable law. Where consent is required, the request will be clear, separate and tied to specific purposes.
7. Artificial intelligence and profiling
Netodex may use artificial-intelligence models to analyze authorized queries and Network Data and suggest contacts, answers or trends. This may involve professional profiling. Outputs are probabilistic, may be wrong, and require verification. Netodex is not designed to make, by itself, decisions producing legal or similarly significant effects. The Customer may request information about the main factors used and must provide any objection or human-review mechanism required by law.
8. Service providers and other disclosures
We disclose only what is needed to providers supporting cloud hosting, security, authentication, communications, support, payments, integrations and, when enabled, AI functions. Contracts restrict confidentiality, security, use, retention and return or deletion. We may also disclose information in a permitted business transaction, with required consent, to protect rights or safety, or when lawfully required. We do not sell Network Data, share it for cross-context behavioural advertising, or mix it with another Customer’s data to serve that other Customer. Hexatech maintains and, where required, provides current provider categories and processing locations through its contract materials or subprocessor notice.
9. Processing outside Québec and Canada
Providers or their personnel may process information outside Québec or Canada, where different laws may permit government access. Before a disclosure outside Québec, we conduct the required privacy impact assessment and enter a written agreement providing adequate protection.
10. Retention and disposal
We retain information only as long as reasonably needed for the described purposes, contractual and legal duties, security, and dispute resolution. Periods depend on category, sensitivity, contract and Customer instructions. At expiry, information is securely destroyed or anonymized as applicable. Backups are overwritten on their normal cycle and remain protected in the meantime. Hexatech and the Customer must agree on a documented schedule, including export and deletion after termination.
11. Security and incidents
We use administrative, technical and physical safeguards proportionate to sensitivity and risk, including access controls, logging, appropriate encryption in transit and at rest, vulnerability management, backups, training and provider management. No safeguard removes all risk. We assess incidents, notify the Customer and individuals or regulators when required, and keep legally required records.
12. Cookies and similar technology
We use cookies or local storage strictly needed for sessions, security, authentication and language preference. If we add analytics, advertising or other non-essential technology, we will update this Policy and obtain a prior choice where required. Browser settings may block cookies, but parts of the Service may then not function properly.
13. Your rights and requests
Subject to legal conditions and exceptions, you may request access or correction, withdraw consent, request cessation of dissemination or de-indexation where the law provides, ask about a decision based exclusively on automated processing, and complain. For Customer-controlled Network Data, contact the Customer first; Hexatech will assist and forward requests it receives unless the law requires a direct response. Send requests to the Privacy Officer in section 3. We will reasonably verify identity and respond within the legal deadline. A refusal will give reasons and identify available recourse. You may also contact the Commission d’accès à l’information du Québec or another competent authority.
14. Regional supplements
Québec. Where Québec’s Act respecting the protection of personal information in the private sector applies, the Customer must limit collection to necessary information, inform individuals about purposes, means, third parties, transfers outside Québec and profiling functions, and conduct required privacy impact assessments. Hexatech supports the Customer as a service provider and applies appropriate contractual, security, and governance measures.
European Economic Area and United Kingdom. Where the GDPR or equivalent UK regime applies, the Customer generally acts as controller and Hexatech as processor. The Customer determines the lawful basis and gives required notices. Hexatech processes Network Data on documented instructions, assists with rights and incidents, governs subprocessors, and uses a valid transfer mechanism where required.
California. Where the CCPA applies to the Customer and processing, Hexatech intends to act as a service provider or contractor for Network Data received under contract. Hexatech does not sell or share that data as defined by the CCPA, retains, uses, and discloses it only for authorized and proportionate business purposes, and does not combine it with data received from another business or collected from the individual except as permitted to provide the Service. The Customer remains responsible for notices, requests, and privacy choices that apply to it.
15. Minors
The Service supports professional relationships and is not directed to children under 14. A customer processing a minor’s information must comply with special consent rules and notify Hexatech before transfer.
16. Changes
We may revise this Policy as the Service or law changes. The current version will show a new date. We will give appropriate notice before material changes and obtain fresh consent where required. Prior versions are available on request.
